4–6 weeks before: decide the experience
Before you print anything, decide what you want guests to be able to do. For most weddings that's four things: check in on arrival, find their table, share photos, and sign a digital guest book.
- Finalize your guest list and fill in any missing names.
- Set up your event and add the list — if you already track guests in a spreadsheet, import it rather than retyping.
- Choose an accent color and upload a cover photo so every screen a guest sees matches your day.
- Draft your seating plan and assign tables.
1–2 weeks before: prepare the touchpoints
This is where the day-of calm comes from. A few small things printed and tested now save you from surprises later.
- Generate your QR code and test it end-to-end on your own phone.
- Order or print QR cards, table cards, and a welcome sign.
- Turn on photo sharing and the guest book; decide whether you'll run a live wall on a screen.
- Give your MC one simple line: "Scan the QR to check in and share photos."
- Do a full dry run in draft mode before you go live.
Day of: let the room run itself
Once the touchpoints are in place, your job is mostly to point guests at them.
- Place the welcome sign and QR cards where guests naturally pause.
- Put a QR card on every table and beside the guest book.
- If you're using a live wall, connect a screen and open the live wall page.
- Ask one friendly person to help older guests scan the first time.
After the celebration: collect the memories
The night ends but the photos and messages keep arriving for a few days. Don't lose them.
- Remind guests that uploads stay open, so late photos still come in.
- Download the full-resolution gallery and back it up.
- Read and save the guest book messages.
- Share the gallery link with anyone who missed it.
